Ordering DME for Workers' Comp Claims: A Guide for Adjusters and Nurse Case Managers

When an injured worker is discharged after surgery or prescribed equipment for recovery, delays in getting DME can slow return to work and drive up claim costs. Here's how to make the process fast and clean for adjusters, nurse case managers and TPAs.

What to include in the referral

  • Claim number and date of injury
  • Carrier or TPA, and adjuster name and contact information
  • Authorization number, if already issued
  • Prescription or order with diagnosis and the specific equipment
  • Injured worker's name, phone number and delivery address
  • Nurse case manager contact, if assigned

Missing something? Send what you have. We'll follow up with the treating physician or adjuster for the rest.

Commonly ordered equipment

  • Post-surgical: cold therapy units, CPM machines, DVT compression devices, hinged knee braces, slings
  • Mobility: crutches, knee scooters, walkers, wheelchairs
  • Pain management: TENS and TENS/EMS units with supplies
  • Bracing: back braces (LSO), walking boots, wrist splints, cervical collars
  • Home safety: shower chairs, raised toilet seats, hip kits

How the process works with us

  1. Referral: online, by fax to 954-493-1513, or by phone. We confirm receipt the same business day.
  2. Authorization: we confirm authorization with the adjuster, or request it with item descriptions, HCPCS codes and pricing.
  3. Delivery: hand delivery and fitting in Broward, Miami-Dade and Palm Beach, or shipping to the injured worker's home anywhere in the U.S. with tracking.
  4. Documentation: signed delivery ticket or proof of delivery, plus an itemized invoice billed directly to the carrier. Rentals include start dates, and we schedule pick-up at the end of need.

Tips to avoid delays

  • Include the authorization number on the referral when you have it
  • For post-op equipment, send the order before the surgery date so it's ready at discharge
  • Confirm the injured worker's current address and best phone number
